Recurring Revenue feature

Note: The Recurring Revenue feature is one of the many useful features on Pipedrive’s Advanced and higher plans.

If you’re in an industry focused on recurring billing or subscriptions, the Recurring Revenue feature can help track and project your earnings over time, even after a deal is won.

This feature is split into two locations: the deal detail view and the Insights reporting feature.

  • Deal detail view
    Set up and manage your deal-specific subscriptions or payment plans.
  • Insights report
    Track your total earnings and losses from recurring revenue over time with advanced reporting.

Setting up recurring revenue for your deals

Note: The maximum term for a payment schedule is 36 months. If you need a payment schedule with a longer duration, just create a new one with the same conditions when the existing one ends.

Under the Revenue panel in a deal’s detail view, you can set up a subscription or a payment schedule.

A subscription reflects a consistent billing plan and a payment schedule can be customized for a more flexible billing plan.

Subscriptions

Note: “Set recurring amount as deal value” can’t be selected if the deal has products attached.

Subscriptions are for deals where payments happen on a regular schedule.

To create one, go to the Revenue panel of a deal’s detail view and click “+ Subscription,” then fill in the following information:

  • Recurring amount – The value of each recurring payment
  • Description – A short explanation about your subscription
  • Number of payments (option to set as infinite payments) – The total number of payment cycles
  • Interval – The amount of time between each cycle
  • Start date – The starting date of the subscription

You can also set up one-time payments to your subscription, like set-up or initiation fees, under “Additional Payments.”

When you click Save,” the subscription plan will appear as active under the deal’s revenue panel.

Note: If “Infinite payments” is selected, payments are generated automatically until the subscription is canceled.

Payment schedule

If your deal requires a payment plan that is not on a set cycle or amount per payment, you can set up a Payment schedule instead of a subscription. This gives you more flexibility in customizing your deal’s payment plan.

Click on “+ Payment schedule,” then fill in the following information:

  • Total amount – The total value of the payment
  • Number of payments – The total number of payments
  • Interval – The amount of time between each cycle
  • Start date The starting date of the payment schedule

The individual payments will automatically populate, but you can update the description, amount and due date for each one.

You can also delete a scheduled payment by clicking the “...” to the right.

Like a subscription, a payment schedule will appear in the Revenue panel of your deal’s detail view after being saved.

Note: The “Amount” and “Due on” details for individual payments will override general settings.

Updating or deleting your billing plan

Editing a subscription

Click on the pencil icon in the revenue panel of an active subscription to edit the Changes effective from date, Recurring amount, Description, and additional payment information of your billing plan.


Canceling or deleting a subscription

To cancel a subscription, click the “...” under your revenue panel and select “Cancel subscription,” then enter the cancellation date before confirming.

Once canceled, the subscription will still appear in your Revenue panel:

If you don’t want the canceled subscription to appear there anymore, you can click on the “...” and select “Delete subscription.”


Editing a payment schedule

If you click on the pencil icon in the revenue panel with a payment schedule, you can edit the description, amount and due date of any scheduled payment.

You can also click “+ Payment” to schedule additional payments, or the “...” to delete an existing payment.

Deleting a payment schedule

If you want to delete a payment schedule, click the “... under your revenue panel and select "Delete payment schedule.”

Hiding the revenue panel from your detail view

Note: You can learn more about sidebar management in this article.

To hide the revenue panel in your deal’s detail view, click the “...” in the top-right corner of the page and select “Manage sidebar sections.”

From there, you can unselect the Revenue panel in the options and click “Done.”

This will hide the revenue panel from your deal detail pages without affecting your recurring revenue Insights reports.


Viewing subscription revenue reports in Insights

Note: The revenue forecast report is only available on Professional and Enterprise plans.

Keep track of your subscriptions using the recurring revenue type reports in the Insights feature.

Once you've created your subscription revenue report, add it to your dashboard or share it with your team.
