This FAQ covers the most common questions about Team Inbox in Pipedrive, including setup behavior, account connections, drafts, automations, assignments, and more


Can I connect more than one email to Team Inbox?

Yes. Enterprise plan users can connect up to five shared email addresses to Team Inbox at the same time. The limits for personal and team inboxes are separate.

Note: Each email account can only be connected in one way at a time, either as a private inbox or a team inbox, not both.

What happens if an email account already used privately is added to Team Inbox?

If a shared email account is added to Team Inbox and was previously connected as a private inbox for another user.

The private sync will be removed and the user will no longer be able to send or receive from that address, unless they’re added as a collaborator on the Team Inbox.


Are there any changes to the email composer?

No. The email composer stays the same.

The only addition is that emails can now be assigned to teammates within a Team Inbox and thread views for better collaboration.


What will I see under ”Drafts”?

Drafts are account-based, not user-specific.

This means:

  • All collaborators in the Team Inbox can see all team inbox drafts

  • Private drafts are not visible in Team Inbox drafts, only in personal drafts


What do users see in the ”Outbox”?

All collaborators can see all scheduled emails in the outbox.

This means:

  • Anyone can cancel a scheduled email

  • The name of the user who scheduled the email is clearly displayed next to it


Can I use automations with Team Inbox?

Note: This will be possible in future releases.

Yes, but only under specific conditions:

  • Only global admins can set up automations using Team Inbox email addresses

  • The global admin who authenticated the email account is the only one who can connect or sync it


Can Team Inbox be set as the default email account?

No. Team Inbox can’t be set as a default email account.

Only private email accounts can be marked as default in Pipedrive.


Do we allow multiple assignees for an email?

No, each email conversation can only be assigned to one collaborator at a time.

Assignment happens automatically in the following cases:

  • A collaborator sends or forwards an email

  • The email is linked to a deal owned by a collaborator in the Team Inbox


Can I reply to an email in Team Inbox if it’s not assigned to me?

Yes. You can reply to any email in Team Inbox, even if it’s not currently assigned to you. Once you send a reply, the conversation will be automatically reassigned to you.

The sender’s name will also be shown in the thread, so your teammates can easily see who replied.


What happens if there’s only one collaborator left in a Team Inbox?

If an admin removes all other users, leaving only one collaborator, you’ll see two options:

  • Add more collaborators or

  • Disconnect the Team Inbox account

If other collaborators are deactivated (e.g. user leaves your company), and only one remains, the Team Inbox account will automatically disconnect.


What happens after the Team Inbox is disconnected?

The account enters a “Ready to sync” state for 30 days.

Only the global admin who authenticated the account can see it and reconnect it.

Global admins can:

  • Add collaborators

  • Disconnect or remove the account

  • Restart sync


What happens if I downgrade my plan?

If you downgrade from Power or higher plans, all team inbox syncs will stop.

You’ll still have access to your private inbox, but Team Inbox features will be disabled.
