Team Inbox
Team Inbox helps your team manage shared email communication more efficiently by centralizing emails into one collaborative workspace.
It’s designed to streamline team responses, reduce duplicated efforts, and give you visibility into ongoing conversations – all without leaving Pipedrive.
With Team Inbox, multiple users can access, read, and respond to emails from a shared inbox, making it ideal for teams handling support, sales inquiries, or general customer communication.
How to set up Team Inbox
Ready to start setting up your collaborative email? Not so fast – first, you’ll need to have access to a connected shared email account, such as [email protected]
or [email protected]
.
To start syncing your shared email, navigate to My account > Email sync and click ”+ Email account.”

Then, select the type of email. In this case, team account.

You’ll see a pop-up with the settings for the team account you want to sync:
- Visibility and sharing – Which Pipedrive users can view and edit the emails in the Team Inbox?
- Default email visibility – Determine if the emails can be viewed by all Pipedrive users in your account or a specific group of users only
- Past sync time – Delect a start day
- Synced folder – By default, the inbox folder will be included. You can add more folders if needed.

Once you start syncing, you and your team will immediately see the Team Inbox added to your sales inbox.
This means your team won’t need to spend time on syncing the shared email themselves, so they can dedicate more time to sending emails and closing deals.

The team inbox allows collaborators to assign emails to each other, apply different filters, such as views by assignee, and change visibility.
Stop syncing the Team Inbox account
To stop syncing your shared email, navigate to My account > Email sync and locate the team inbox. Then, click ”+ Stop sync”.

Stopping the sync will stop new emails sent to the shared email account from appearing in the team inbox, as well as any pending and future automations configured to use the email will fail.
If you still wish to stop the sync, confirm the stop.

Once the sync is stopped, the status for the Team Inbox will appear as inactive.
