Importing: mandatory fields

When importing data into Pipedrive from a spreadsheet, each item type requires specific fields. If mandatory fields are missing, the import won’t create any items, and a skip file will be generated to show what was not imported.

Mandatory fields by item

The table below gives a quick overview of the minimum requirements for each item type.

This is the minimum required for a successful import.

Before importing, review your data fields to make sure your spreadsheet includes everything you need. You can also create custom fields for leads, deals, people. oragnizations, products and projects to match your company's needs.

To review or create fields, go to the account menu > Personal preferences > Data fields.


Item requirements and recommended fields

While mandatory fields ensure the import succeeds, adding more information helps you organize your data and avoid duplicates.

Contacts: people and organizations

To create a contact, you only need the name field.

However, adding more details improves data quality and helps prevent duplicates.

  • For people, include an email or phone number
  • For organizations, add an address

If your file includes both people and organizations, you can import them together to automatically link them.

Leads, deals and projects

Leads, deals and projects must be linked to another item.

For leads and deals, include at least one item field, along with either a person name or an organization name.

For projects, you can import them in two ways:

  • With only project data, using the project title
  • Linked to other items, using a deal title, person name or organization name

You can include additional fields such as owner, value, stage, phase, dates or any custom fields to better structure your data.

Activities

Activities don’t require any mandatory fields.

However, including details like subject, due date, type and assigned user makes them more useful and easier to manage.

If you’re importing completed activities, you can also include historical fields such as done time.

Notes

Notes must always be linked to another item.

When importing notes, include the required fields for the related person, organization, deal, lead or project.

Products

To import products, you only need the product name.

You can add fields like price, currency, description and custom fields for more context.

Note: Products can’t be linked to deals during import. You can link them manually after the import is complete.
