Import data into Pipedrive efficiently using spreadsheets.

<a name="getting-ready-for-an-import"></a>Getting ready for an import</h2>
Before you import, consider the data you’re adding to Pipedrive and format your spreadsheet accordingly. 
<ul>
<li>Are you trying to import a list of contacts (people and organizations?)</li>
<li>Do you want to import contacts and create an open deal for each one?</li>
<li>Do you want to import contacts, open deals, and create activities for those deals?</li>
<li>Do you want to import contacts, open deals with activities, and attach notes?</li>
<li>Or open new deals for contacts that already exist in Pipedrive?</li></ul>
Some spreadsheet formatting tips: 
<ul>
<li>
Remove formulas – Use a fresh spreadsheet without any formulas. If you have a spreadsheet that uses formulas or data-linking to generate the contents of a cell, copy the data from your spreadsheet into a fresh sheet without the formulas.</li>
<li>
Separate tabs on spreadsheets – If your spreadsheet has more than one tab containing data – a multiple offer spreadsheet, for example – make sure to select the correct tab you wish to import. </li></ul>

No special symbols – Your spreadsheet must not have symbols for numeric or monetary fields. For example, a column for deal value should just include the number “1000” and not the symbol “$1000”. </li><li>Specify currencies – Following the point above, we recommend adding a separate column for specifying currencies if your deals have values in different curriencies.</li>
<li>
Spreadsheet size limit – There is no maximum limit on the number of spreadsheet columns, but the maximum file size is 50MB, with a limit of 50,000 rows per spreadsheet. </li>

When importing data to Pipedrive from a spreadsheet, include the mandatory fields for each item. Each mandatory field needs a separate column in your spreadsheet mapped to the corresponding field in Pipedrive.

<a name="custom-fields"></a>Custom fields </h2>
If your spreadsheet has data for leads, deals or contacts that isn’t covered by default fields, add a custom field before importing so your data has somewhere to be mapped. 
For example, “job title” is not a default field in Pipedrive. To include this information in your import, create a custom person field and map the spreadsheet column to the newly created field. We recommend a text or single-option field.

Go to “...” (More)&gt; Import data &gt; <a href="https://app.pipedrive.com/settings/import/history" target="_blank" rel="noreferrer noopener">From a spreadsheet.</a> Click “From a spreadsheet” and select the file you intend to import. Pipedrive supports Excel (.xls and .xlsx) and .csv files.

<h3 style="text-align: justify">Step 2: Mapping<a name="step-2-mapping"></a></h3>
To import your data to Pipedrive, map each column in your spreadsheet to the relevant icon and field in the mapping step. You can hover over the icon to see what type of data it refers to in Pipedrive. 
The auto-recognition feature will automatically match the column header to the fields in Pipedrive. Any unrecognized fields must be dragged from the Pipedrive fields (right) to their appropriate spreadsheet columns (left). Use the search bar to find Pipedrive field names more easily.

Once you’re finished mapping, click “Next.” 
<h3>Step 3: Preview and finish<a name="step-3-preview-and-finish"></a></h3>
This page previews your data after the import. We recommend navigating through the data tabs to validate the import. 
Once you’ve validated your import, click “Next.”

In the next window, choose what to do if duplicates are found in your spreadsheet. After your import, you’ll see a confirmation page with an overview of the imported data.

<h3 style="text-align: justify">What is a “skip file”?<a name="what-is-a-skip-file"></a></h3>
Any items imported incorrectly are put together in a skip file, which includes the row where the complication occurred and the reason why.
For example, if you import a list of people and don’t include a mandatory field (e.g., person name), that row of information will be skipped. Pipedrive will then take that row and organize it in a skip file.
You can download the skip file at any time to review these errors and make the needed changes directly in the spreadsheet, then import the skip File into Pipedrive to complete your import. When importing data to Pipedrive from a spreadsheet, it's important to include the fields that are mandatory for each item to be imported successfully. This article takes you through which fields are mandatory for importing.

<a name="leads"></a>Leads</h2>
Every lead in Pipedrive needs to have either a contact person or organization linked to it. To import a lead, you will need the lead title and one of the following in your spreadsheet:

When mapping your import, you will have to map your spreadsheet columns to the Pipedrive data fields. Once the import is complete, your leads will be automatically linked to your contacts.

You can also import a note or owner along with your leads.

<a name="deals"></a>Deals</h2>
Similar to leads, every deal in Pipedrive needs to have either a contact person or organization linked to it. To import a deal, you will need to add at least one deal field and any of the following in your spreadsheet:

We recommend including the deal title field, but it’s not mandatory. If you don’t include a deal title, the deal will automatically take the name of the contact that it is imported with.

You can also include the following deal fields:

If you are importing a historic deal or a deal that has already been closed, you can use the following fields:
<ul>
<li>Won time</li>
<li>Lost time</li>
<li>
Status</li>
</ul>
<div class="support-note primary">Note: To import a deal, you don't necessarily need to have a deal title in your spreadsheet. If you want to create deals for each person or organization, you just need to create an empty column in your spreadsheet for the deal titles. Make sure this empty column is mapped to the Deal-Title field.</div>
When imported, the deal's titles will automatically take the name of the organization. If there is no organization, it will take the name of the contact person.

<a name="contacts-people-and-organizations"></a>Contacts: people and organizations </h2>
When importing people or organizations, only the name is mandatory for successful contact creation. However, it is recommended to add more fields to better identify your contact and avoid duplications from being created. For people, add the following to prevent duplicates from being created:

For organizations, include the following to prevent duplicates from being created:

Organizations and people can be created separately, but we recommend importing them together to automatically link them.

You can also include other product fields such as price, currency, description and any custom fields.

Note: Currently it is not possible to link products to deals through an import. You can only link a product to a deal when your data has already been imported into Pipedrive. </div>

Notes can be added under deals, people, organizations, activities and leads, and cannot exist by themselves. When importing a note, you have to also include information of one of the following (and their mandatory fields):

This way you can make sure that your contact people, organizations, deals, activities, notes, products, or leads are all imported correctly with their relevant data.

In order to import your data to Pipedrive correctly, you will need to map each field with the relevant icons for your items to import. Each item type is represented by an item icon when importing.
For example, all of your people-related fields have to be mapped to fields under the "Person" item icon in order for them to show up properly linked to your people contacts.

Note: Not all of your fields will be mapped automatically, so you will need to map some fields manually. It is always recommended to double-check your mapping before moving to the next step to prevent any incorrect mapping. </div>
 Once you have your spreadsheet set up and imported, you can then begin mapping your fields. Below you can see a sample from a spreadsheet.

 When mapping, select the icon of the field type you wish to map. Then click and drag that field to the left-hand side of the page and match it to your spreadsheet columns. When importing in Pipedrive, some fields can be trickier to map to your spreadsheet depending on how the fields are set up. Multiple option, address and phone type fields all require an extra step in order for them to be mapped correctly.

Note: To map a multiple-option field, you must first ensure that the multiple-option type custom field is already created in your Pipedrive account. <a href="https://support.pipedrive.com/article/custom-fields" target="_blank" rel="noreferrer noopener">This article</a> explains custom fields.</div>
To import a multiple-option field, you need to map it an extra step. When you have mapped the field itself (“Group Number” in the example below), click on it to expand and see the individual mapping of each field option from your spreadsheet.

Check to see if the options from your spreadsheet have been mapped correctly to the custom field options in Pipedrive. If they weren't mapped correctly, click and drag the correct options to their corresponding options from the spreadsheet.

There are two possible ways to include addresses in your spreadsheet when importing an organization's address field or an address type custom field. <div class="support-note warning">Note: We recommend to choose only one of the following methods. Using both may cause errors during the import.</div>
<h3 style="text-align: justify">Address fields in separate columns<a name="address-fields-in-separate-columns"></a></h3>
When creating your spreadsheet, you can add your address with the different address fields separated into different columns.

Then, when mapping your fields, you can select the individual address fields from Pipedrive and match them with the fields in your spreadsheet.

Alternatively, you can add your address to one field, separating your items with a comma.

When importing your contact's phone number, you have the option to select the phone label you want to map to Pipedrive. If you have multiple phone numbers for a contact, you can map the phone field multiple times.
For example, if you would like to import contacts with a personal mobile phone number as well as a work phone, you can do so by adding the numbers in separate columns.

When mapping, you can click and drag the phone field multiple times. Once it has been mapped, click on the pencil icon to assign a label to that phone number type.

When working with deals, you may want to add <a href="https://support.pipedrive.com/hc/en/articles/360000321517-Followers" target="_blank" rel="noreferrer noopener">followers</a> or <a href="https://support.pipedrive.com/hc/en/articles/115001109689-What-are-participants-" target="_blank" rel="noreferrer noopener">participants</a> in bulk to save you the time it takes to add them manually. Both participants and followers can be added to your account by importing spreadsheets.

<a name="importing-followers"></a>Importing followers</h2>
You can add <a href="https://support.pipedrive.com/hc/en/articles/360000321517-Followers" target="_blank" rel="noreferrer noopener">followers</a> to your contact people, organizations, deals and products in bulk by importing spreadsheets, allowing you to save time rather than adding them manually. First, you will need to filter for item title or name, and their Pipedrive System IDs, so that duplicates won't be formed when importing. Learn more about how to use the Pipedrive System ID feature <a href="https://support.pipedrive.com/en/article/updating-pipedrive-data-with-a-spreadsheet">in this article</a>. 
<div class="support-note success primary">Note: If you are adding new items to Pipedrive rather than updating existing ones, you will not need to use the Pipedrive System ID. You can just add followers to your spreadsheet and follow the directions below to import. </div>
In this example, deal title, deal ID, person name and person ID are being added to the list view. This will allow for followers to be added to these people and deals in bulk.

You can then export the list to a spreadsheet. When updating your spreadsheet, add a column for your followers. If you would like to add more than one you can add them to the same cell separated with commas “,". Here is an example of how your spreadsheet would look.

When importing your spreadsheet, you can <a href="https://support.pipedrive.com/hc/en/articles/208039595-Importing-data-into-Pipedrive-with-spreadsheets#C5" target="_blank" rel="noreferrer noopener">map your columns</a> to the “Followers" option of your Pipedrive data fields.

Click on the pencil icon in order to map your followers, making sure that you select the correct user in your account that should be added as a follower of the item.

After running your import, the followers should be visible in the item's detail view.

<a name="importing-participants"></a>Importing participants</h2>
Importing <a href="https://support.pipedrive.com/hc/en/articles/115001109689-What-are-participants-" target="_blank" rel="noreferrer noopener">participants</a> can only be done by updating existing deals in your account. To import participants, you will first have to export a file with the deal Pipedrive System ID for any deals you wish to update and add the participant information before reimporting the spreadsheet. You can read <a href="https://support.pipedrive.com/hc/en/articles/208061095-How-can-I-update-my-Pipedrive-data-with-a-spreadsheet-" target="_blank" rel="noreferrer noopener">this article</a> for more information on how to use the Pipedrive System ID to update items.
When creating your spreadsheet, you will need to add individual rows for each of the participants you wish to add. 
<div class="support-note success primary">Note: If the participant already exists in Pipedrive as a person contact, you will need to also export the person ID to your spreadsheet so duplicates won't be formed when importing.</div>

When mapping the import, make sure to map the Pipedrive System ID field for your deal. The participant columns in your spreadsheet will be mapped to the contact name fields in Pipedrive.

<div class="support-note success primary">Note: Importing participants in bulk from a spreadsheet will override the deal's existing contact person with one of the imported participants. To keep the original contact person, you will need to manually update the contact person or import an additional spreadsheet with deal ID, person name and person ID to bulk update your deals to contain the correct contacts. </div>
In the detail view after you have run the import, your participants will appear in the deal detail view. Although Harry Potter was not in the spreadsheet, as he was the deal's original contact person, he will still be a deal participant after the import is complete.

If there were items in your spreadsheet that were not imported correctly, Pipedrive will put together a skip file, which includes the row where the complication occurred and the reason why. You can download the skip file at any time to review the information on your import.

To access your skip file, go to "..." The most common reasons are provided below, so that you may know how to adjust your spreadsheet in order to successfully import all of your data into Pipedrive on your next attempt.

Deal title must be given There are cases when the deal title could not be autogenerated. The person or organization is not mapped and the deal title is missing. 
</li>
<li>
Name must be given When adding a person, you must always add a name column to your spreadsheet. 
</li>
<li>
Organization name must be given An organization name field must always be added when importing an organization. 
</li>
<li>
Deal not found This happens when you map the Pipedrive System ID, but this ID does not exist for a deal in Pipedrive. 
</li>
<li>
Person not found This happens when you map the Pipedrive System ID, but this ID does not exist for a person in Pipedrive. 
</li>
<li>
Organization not found This happens when you map the Pipedrive System ID, but this ID does not exist for an organization in Pipedrive. 
</li>
<li>
Please provide valid currency Currencies are often used when importing the value of a deal and must be denoted without using their special character symbol. For example, USD and EUR would be correct but $ and € would not be. 
</li>
<li>
Unauthorized access The URL for the import data page was provided to a user who is not authorized to import data into the account. Since only admin users or regular users with permission are authorized to import data within Pipedrive, the import is rejected. 
</li>
<li>
ID must be an integer When importing an ID field in Pipedrive, the content of that mapped field can only be an integer. If any text is in that field – for example, "EX1234" – then that import will fail.</li>

Before you start your migration with Import2, make sure <a href="https://support.pipedrive.com/hc/en/articles/207319685-How-can-I-add-a-user-" target="_blank" rel="noreferrer noopener">users </a>are already set up in your Pipedrive account. If the migration is initiated before users are invited and pipelines are created, your data will be owned by the user who initiated the migration.

 From there, you can follow these steps:

<li>Find the name of your previous software and click the “Import” button</li>
<li>From the Import2 page, provide the login credentials for your previous software and click “Test connection” to verify them for Import2</li><li>Confirm the settings of the migration, including if you wish to have Import2 automatically create your pipelines and stages, as well as create and map your custom fields</li>
<li>Click “Start Import," which will initiate the full import of your data from your old CRM into your new Pipedrive account</li></ul>
 An Import2 status page will display the details and progress of your import. Once your migration is completed, Import2 will send you an email notification to review. 
If you need to change the settings for your import, including adjusting field mappings, you can click on the “Settings” tab of your migration page.
From here you can adjust the selection if you wish Import2 to automatically create the pipelines and stages, as well as the custom fields in your database. You can also click “Customize Mappings” to add or change the fields mapped for your migration.

You will also find the option to add filters, or even disable certain record types from importing. 
You can make changes in your Settings tab, and can undo and redo the migration as needed at no extra cost.

Having a large database of deals, people, or any other item can be natural when managing your sales. However, it can be expected that some information becomes outdated over time. Updating each one of them manually is doable, but if there is a lot of information that needs to be updated, it may require important time and effort that you could be using to close deals.
You could use the <a href="https://support.pipedrive.com/hc/en/articles/206529689-Bulk-editing-filtering-The-List-View-" target="_blank" rel="noreferrer noopener">bulk editing and filtering features</a> from the list view to edit data in large chunks, but what if you already have all the data you need in a spreadsheet, and you need to get it into Pipedrive without creating duplicates? For that reason, Pipedrive allows you to update your database in bulk by importing a spreadsheet with the Pipedrive System ID feature.

Which IDs and fields should I use?
To update your items (deals, people, organizations, products, etc.), it's necessary to include the Pipedrive System ID and any other fields you'd like to update.
For example, let’s say that you want to change the values, stage and ownership of existing deals.  Note that you can export other columns for reference, like the title. However, any changes that you make in those columns will be overwritten when you import. 
How do I get the Pipedrive System IDs in the list view?

Once exported, make all necessary changes to the data within the spreadsheet. Here is one example of what your spreadsheet would look like when you export it before the changes:

And here is an example of the same spreadsheet with changes made to it. Keep in mind that the ID fields don’t need to be changed. You only need to change the information that needs to be updated in Pipedrive.

Then, <a href="https://support.pipedrive.com/hc/en/articles/208039595" target="_blank" rel="noreferrer noopener">import the spreadsheet</a> to Pipedrive and map the corresponding ID fields to their columns.

When all the fields are mapped, click on “Next” and finish the import. The Pipedrive System ID will automatically update your database with your new information, as Pipedrive will know which elements you are updating based on the Pipedrive System ID.

The best way to change a <a href="https://support.pipedrive.com/hc/en/articles/207228075-Custom-Fields" target="_blank" rel="noreferrer noopener">custom field</a> type is to recreate the field in the type that you want and use the “<a href="https://support.pipedrive.com/hc/en/articles/208061095-How-can-I-update-my-Pipedrive-data-with-a-spreadsheet-" target="_blank" rel="noreferrer noopener">Pipedrive System ID" feature</a> to transfer the existing data into the new field.

<li>
Create a new custom field with the correct custom field type.
</li>
<li>Copy and paste the old custom field information into the new custom field through <a href="https://support.pipedrive.com/hc/en/articles/115000797525-How-can-I-export-data-from-Pipedrive-" target="_blank" rel="noreferrer noopener">exporting</a> and <a href="https://support.pipedrive.com/hc/en/articles/208039595-How-can-I-import-data-into-Pipedrive-with-spreadsheets-" target="_blank" rel="noreferrer noopener">importing</a>. This step will allow you to “update” the newly created custom field with the data from the old custom field. </li>
<li>
Delete the old custom field once all of the correct information has been moved to the new custom field. </li></ul>

<h2 style="text-align: justify">Getting started <a name="getting-started"></a></h2>
Before any exporting, make sure the new custom field with the correct type has been created in your account, so the old custom field information has somewhere to move to.
 To create a custom field, go to Settings &gt; <a href="https://thisisthecompanydomain.pipedrive.com/settings/table_column/edit/deals" target="_blank" rel="noreferrer noopener">Custom fields</a> and select the category of custom field you wish to add to Pipedrive. 
Note: While you are in the Custom fields settings page, it may be a good idea to edit the name of the existing custom field to include the word “old” to avoid any confusion during the updating process.

<h2 style="text-align: justify">Exporting your data <a name="exporting-your-data"></a></h2>
To get started with your export, you can go to the deals, people, or organization list view the custom field is under. You will need to include the following columns in your list view:

<li>Name/Title</li>
<li>Old custom field</li>
<li>New custom field </li>
<li>Item ID (deal, person or organization)</li>
</ul>
Note: In the screenshots below, the values under the “Example text custom field” under deals will be moved over to the newly created “Example single option custom field” under deals.

Once you have these four columns applied in your list view, you can then <a href="https://support.pipedrive.com/hc/en/articles/115000797525-How-can-I-export-data-from-Pipedrive-" target="_blank" rel="noreferrer noopener">export the list</a> to a spreadsheet.
In the exported spreadsheet, you will then have to copy and paste all of the values under the old custom field into the cells under the new custom field. This will allow the new custom field to be “updated” with the information from the old custom field when you re-import your spreadsheet.

Once you save the updated spreadsheet, you can then import the spreadsheet back into Pipedrive by clicking the "..." in the bottom left of your screen, then selecting <a href="https://thisisthecompanydomain.pipedrive.com/settings/import#/history" target="_blank" rel="noreferrer noopener">Import data</a> &gt; From a spreadsheet. When you get to the mapping step of your import, it’s important to make sure all of the columns in your spreadsheet are mapped to the correct field in your Pipedrive account.

Once everything is mapped, you can hit the "Next" button to proceed with your import.

When exporting your data, it’s important to keep the mandatory fields that Pipedrive will need when mapping during importing in mind, in order to successfully create the new items in your other Pipedrive account. There is always a chance that you may have contacts with the same name (e.g., John Smith). For this reason, whenever you run an import in Pipedrive, you will be given the option to recognize and merge duplicates together. You can also choose to bypass this merging step if you prefer to create multiple records.

<h2 style="text-align: justify">Deals<a name="deals"></a></h2>
Given that the nature of sales is that you may have multiple deals with the same name, there is no duplicate identifier for deals in Pipedrive. This means that if you import more than one deal with the same name, those deals will not be considered duplicates and all of them will be imported.

<h2 style="text-align: justify">People<a name="people"></a></h2>
Once a Person's name has been recognized in the import, Pipedrive will look for the following information to determine if there is a duplicate record: 
<ul><li dir="ltr">Person - Organization</li><li dir="ltr">Person - Phone</li><li dir="ltr">Person - Email</li></ul>
If Pipedrive finds that ANY of those three fields matches another person within the Pipedrive database or the import file, it will merge them together and add any new data included in the import.

<h2 style="text-align: justify">Organizations<a name="organizations"></a></h2>
Once an organization's name has been recognized in the import, Pipedrive will look for the following information to determine if there is a duplicate record:

You can have organizations with the same name as long as you always specify the address field. If the address matches any existing organization in your Pipedrive database or import file, it will merge the organizations and add any new information included in the import.

Merging data
Let’s say you import this list of people and all have the same name. In this example, you would eventually end up with two Jon Snows, because matching criteria was found in three of the same rows.

 Matching criteria:
1. Jon Snow in row 1 is created.
2. Pipedrive recognizes “Jon Snow” in row 2 and checks for a matching organization, phone and/or email. It then realizes the person - name and organization - name are the same in row 2 as they were in row 1 and therefore does not create 2 Jon Snows. Instead, it maps row 2’s unique phone number onto the same phone number created in row 1.
3. Pipedrive recognizes “Jon Snow” in row 3 and checks for matching organization - name, person - phone and person - email. It then finds that the person - email is the same as in row 1 and therefore does not create an additional Jon Snow. Instead, it adds the new Phone number to row 1’s record, as well as updates row 3's organization - name with “The Wall”.
4. Pipedrive recognizes “Jon Snow” in row 4 but this time finds no matching organization - name, person - phone, or person - email to the existing Jon Snow. It, therefore, creates a second Jon Snow with this unique phone number and email address.

As mentioned at the beginning of this article, you are able to select the option to bypass the merging step. The option to create multiple records could be useful in scenarios when you would like each user to have their own copy of those contacts to work with. It is important to keep in mind that each contact created can have only one owner linked to it.

Please note that creating multiple records could create a cluttered database. This can all be controlled simply by designating a column in your spreadsheet that will be associated with the Stage option during your import. This also determines which pipeline the deal goes into if you have multiple pipelines.

How to format your columns in excel

When importing from spreadsheets, make sure all monetary values (for default fields such as deal value, and for any custom fields where you have currencies) are formatted as numbers without currency symbols (so as 1000000000 as opposed to $1000000000).
If numbers include currency symbols, the Pipedrive import system won’t detect them properly and thus all values will be formatted as ”0”.
If you’ve already imported and are facing this issue, the best course of action is to revert your import, remove the currency symbols from the spreadsheet you’re importing and import again.

Why do my imported currency values appear as "0"?

Sometimes, you need to transfer data from different programs to your Pipedrive account. If you have Mailchimp contacts you'd like to migrate to Pipedrive, this next guide is for you.

In your Mailchimp account, go to “All contacts” under the Audience menu. From there, select a segment to export, then click “Export Segment”.

<h2 style="text-align: justify">How fields are organized<a name="how-fields-are-organized"></a></h2>
In the import window, there are seven data categories that represent your available field types.

In each field type category, the fields are listed alphabetically (including custom fields.)

For leads, deals, people, organizations and products, the available default fields for import can be found in the <a href="https://app.pipedrive.com/settings/fields" target="_blank" rel="noreferrer noopener">data fields</a> section of your settings under each category.

Activities and notes
Activities don‘t appear in the data fields section of your account, but you can see the available import fields in the import mapping screen.

In addition to default fields, custom fields can be mapped when importing data into your Pipedrive account.

Formula fields

You can import values using formula fields, and have the calculations performed during the import. 
In this example, the number of clients field has a formula of deal value + 10.
