In Pipedrive, the number of open deals you have in your account will depend on the plan you are on. If your open deals limit is reached, deals created by workflow automation and LeadBooster (Chatbot or Web Forms) will no longer be added to your pipeline and instead will be sent to your deals waitlist.


Viewing the waitlist

To view the waitlist, go to Settings > Usage > Deals waitlist. Here you can view the deal name, source, and created date of each item.


What can I do in the waitlist?

Sorting

You can sort the deals in the waitlist by their creation time. The newest deals appear at the top of the list, but if you need to change the order of the deals in the list, click on "Created".

Filtering

By default, the waitlist displays all deals; however, it is possible to filter them based on their source. E.g., API, workflow automations, Chatbot and Web forms.

Bulk select

This option allows you to select and add items directly from the waitlist to your pipeline. The Add to pipeline button will indicate how many deals you will be able to add from the waitlist, and this number will be adjusted to the number of spaces you have available in your pipeline.

If you select and try to add more deals than the space in your pipeline, the system will offer you to add only the fitting number of the oldest deals in the waitlist. If you do not wish to add the oldest deals, you will be given the option to select specific deals.

The bulk select feature also lets you delete the deals you no longer need or want to add to your pipeline. Select the items you want to delete and click on the trash bin button.

Note: The deals that were successfully added to the pipeline by using the Add to pipeline button will automatically get deleted from the waitlist.

Exporting

This feature exports all the deals in the waitlist into a single CSV file. You can then import and add them to your account when free space has been made.

Note: If you reach your open deals limit while importing, the extra deals will be added to your skip file with a the message: "Open deal limit reached. Couldn't add the deal".

Deals from automations

When you are at your open deal limit, any workflow automation set up to create a new open deal or convert a lead to an open deal will fail at that step. In both cases, a new deal won’t be created, and, in the latter, the lead will remain unconverted in your leads inbox. Instead, the new deal that was not created will be sent to your deals waitlist.

If you have an automation set up to convert a closed deal to an open deal, that automation will also fail at that step, but no deal will be sent to your deals waitlist as the automation was updating an old deal and not creating a new one.

Note: If you are at your deals limit, automated activities, emails, notes and other items that are linked to the creation of a new deal by the workflow automation will not be triggered, and the deal will be sent to the waitlist. Say, for example, you have an automation set to create a deal and an activity upon creating a contact person. If you are at your deals limit, the deal will be sent to the waitlist and the activity will not be created.

Deals from LeadBooster

When you are at your open deal limit, any LeadBooster Chatbot or Web Form set up to create a new open deal will fail. However, a new contact will still be created with an attached note of the Chatbot conversation or Web Form submission.

If the person or organization interacting with your Chatbot or Web Form was already in your contacts, that existing contact would be updated with a note. In both cases, the new deal that was not created will instead be sent to your deals waitlist.


Deals from the mobile app

The deals waitlist is currently available only on the web app; however, when you exceed the open deals limit, you will not be able to add any new deals via the mobile app. If that happens, you will see an alert about the exceeded open deals limit.

If you are adding deals while Pipedrive is offline, those deals will be saved in the mobile deal list and synced to Pipedrive web when you are online. If the usage limit has been reached, the new deals added on the mobile app while offline will fail to sync when going online and will be added after you have freed up space.

Note: If you delete the mobile app while there are unsynced deals and then re-install the app, the deals that were unsynced at the time the app was deleted will be lost and cannot be recovered.
