Note: Only users with account settings access can manage other users’ access rights.

Pipedrive's user management lets you control what users can access and what they can do in your account.

Access in Pipedrive is structured in three layers:

  • Access rights – Decide which parts of Pipedrive users can access
  • Permission sets – Define what users can do in those areas
  • Visibility groups – Control which data users can see

Access rights overview

The table below shows the main access rights and what each one allows users to access.

Access type

What it gives access to

Requirements

Company settings, billing, security and user management

None

Deals app

Core features, including pipelines, leads, deals and contacts

Paid seat required

Projects app

Unlike access rights, global permissions don’t control which features users can open.

Manage access rights

Once you understand how access works, you can manage it for each user in your account.

Open the account menu in the top right corner of Pipedrive and go to Company Settings > Manage Users > Users and Access.

To update access, select one or several users from the list.

This opens the access rights panel, where you can:

  • Enable or disable access using checkboxes
  • Change the permission set using the dropdown

After making changes, click “Edit” and confirm.

Access settings overview

Below is a closer look at the settings you can manage in the access rights panel.

Account settings

Allows users to manage company-level settings, including billing, security and user management.

Note: Users with account settings only don’t have access to deals or other core features and can’t use the mobile app.

Users with only this access don’t use a paid seat. A paid seat is added when the deals app access is enabled.

Deals app

Note: This access requires a paid seat.

Gives access to core features like pipelines, leads, deals, contacts and organizations.

Global permissions

Define what users can do within shared features such as contacts, Insights, activities, automations and imports.

Global permissions are available only when deals app access is enabled.

Campaigns app

Note: Campaigns is available as a paid add-on.

Allows users to create and send email campaigns.

Projects app

Note: Projects is included on Premium and higher plans and is available as a paid add-on.

Provides access to project management features and related data.

Visibility groups

Control which data users can see in the account.
