Calendar sync

Note: Each user’s calendar sync will only sync activities owned by that user in Pipedrive.

It’s always important to keep track of all of your upcoming tasks, whether business or personal. Having several calendars can lead to double-booking or missing appointments, which can make you look unprofessional and lead to the loss of important deals.

To prevent this, we suggest syncing your Pipedrive account to your preferred calendar system – Google, Exchange, Outlook, or Office – to bring your worlds together using Pipedrive’s calendar sync.


Setup

Note: IMAP and POP sync configurations are not supported. If you encounter any problems with your calendar sync (short for calendar synchronizer or synchronization) please review our troubleshooting guide.

To enable the calendar calendar synchronization, go to Personal preferences > Calendar sync and click Connect account.”

From there, provide the email address of the calendar account you wish to sync and that account’s password credentials.


Settings

Note: Currently, it’s not possible to create recurring activities in Pipedrive. Recurring activities synced over from your provider can’t be edited in Pipedrive.

When syncing your calendar and Pipedrive together, you can choose several options based on how you wish for Pipedrive and your calendar to interact, like which calendar you wish to sync (if you have several) and which type of sync you wish to initiate.

You can stop the sync and sync a different account anytime you need to ensure that you don’t miss any important events.

Note: Only events and activities with future time will sync from your provider to Pipedrive. When you disconnect and reconnect calendar sync or change an activity type, previously synced events retain their original type. The system does not update these events. Only newly synced events reflect the updated activity type.

Calendar sync types

You can choose how your external calendar will sync with Pipedrive: from Pipedrive to your personal calendar and otherwise, or Pipedrive to your personal calendar only.

Two-way sync

When two-way sync is selected, activities created in Pipedrive will be synced over to the linked calendar. When events are created in that linked calendar, activities will be created in Pipedrive.

Edits made to either of these items will update the linked Pipedrive activity or calendar event.

When choosing Convert calendar events into activities in Pipedrive as, this refers to the events in your synced calendar that come over to Pipedrive and the activity type they’ll have. This will only appear when the two-way sync option is selected as the sync type.


One-way sync

When one-way sync is selected, activities created in Pipedrive will be synced over to the linked calendar. However, when events are created in that linked calendar, they’ll not create activities in Pipedrive. Any changes made in the linked calendar to any events created by activities in Pipedrive will still update that activity in Pipedrive.

They may be any of the default activity types – call, meeting, task, deadline, email, lunch – or any of the custom activity types created for the company account. Learn more about activities and custom activity types in this article.

When choosing “Select the Pipedrive activities you want to see in your external calendar,” choose which of the Pipedrive activity types you wish to be synced to your associated calendar.

If you wish to keep any activities from being synced over to the calendar connected to Pipedrive, we suggest unselecting the relevant activity types.

Any changes made to these options – like changing which Pipedrive activities are synced – will be saved automatically in Pipedrive.

Note: In order for another user, admin or regular, to see your activities, they will need visibility of all of the activity’s linked items.

Calendar privacy

We understand that you’d like to keep some activities private. For that reason, you can choose the visibility of your synced events.


Advanced settings

You’ll also see the option to choose whether to include the deal and contact information in your activities.


Calendar view

To start syncing your calendar, click on “Start sync” and, in a matter of minutes, you’ll be able to view your activities in your calendar view.

The calendar view is a helpful tool for tracking your activities, keeping your sales moving and ensuring you get those all-important wins.

Note: You can view up to 500 activities in the calendar view. Learn more about the calendar view in this article.

In both the calendar and list view, you’ll be able to see the status of your sync and the account you’re syncing.
