Data fields in Pipedrive

Note: Only admins and regular users with the right permissions enabled can access the data fields settings.

To keep your data organized and help you focus on information that needs special attention, we created different types of data fields that serve different purposes. You can find your data fields settings by going to Settings > Data fields.


Custom fields

One of the main characteristics of Pipedrive is the customizable approach to managing your sales processes and operations. The type of information you gather from customers can vary depending on your business and industry – that’s why we offer the option to create custom fields.

These fields are viewable in the detail view, list view, and Add New dialog. Learn more about adding and configuring these fields in our custom fields article.

Note: Formulas and pipeline-specific custom fields are only available for Professional and Enterprise users. The number of custom fields you can have depends on which plan you are on. Learn more about usage limits in this article.

Default fields

Default fields are already built into your Pipedrive account when you create it. They are typically used for relevant customer information like names, emails or phone numbers – when a relevant field does not exist, a custom field can be created.

You can find the default fields section right below the custom fields section.

Note: Default fields cannot be deleted.

These fields are viewable in the detail, list and project views. The name or type of default fields cannot be edited, but the quality rules can.

Note: The instant messengers, post addresses, notes, birthday/dates of birth and job title fields don't exist by default in Pipedrive. They are only created for contact persons when you set up your contact sync. You can learn more about contact sync in this article.

System fields

System fields are also already built into your Pipedrive account. These fields are part of the Pipedrive interface. The information they contain is not filled inside the detail view or Add New dialog, as it is filled manually or automatically through a different feature or menu (for example, the date when an item was created or the number of emails you exchanged with a contact).

You can find the system fields section right below the default fields section.

Note: System fields cannot be edited or deleted.

These fields are always visible when mapping your imports, and they are helpful to update data into Pipedrive with spreadsheets.


Pipeline-specific custom fields

Note: Pipeline-specific custom fields are one of the many useful features of Pipedrive’s Professional and higher plans. Setting up and editing the pipeline-specific fields can only be done by global admin users.

This feature allows you to add custom fields to deals that are in specific pipelines.

You can hide the field in the deal detail view while the deal is in certain pipelines. If the field already has some data, that data won’t be deleted, only hidden. It will also remain visible in the list view.

To configure them, click on the Edit field” option and All pipelines.


Required fields

Note: The required fields feature is one of the many useful features of Pipedrive’s Professional and Enterprise plans. Setting up and editing the required fields can only be done by global admin users.

Mark fields as required to ensure your team enters crucial deal data. If a required field is empty, users won’t be able to save the deal and will see a reminder in already existing deals.

To configure them, click on the Edit field” option and toggle the option for Required. You can also mark fields required only for moving to specific pipelines or stages.

Important fields

Note: The important fields feature is one of the many useful features of Pipedrive’s Professional and Enterprise plans. Setting up and editing the important fields can only be done by global admin users.

Mark fields as important to remind your team to enter crucial deal data. If an important field is empty, users see a reminder in the detail view.

To configure them, click on the Edit field” option and toggle the option for Important. You can also mark fields important only for specific pipelines or stages.
