Permission Sets

Note: This action is only available to Admin Users.


When managing a team, there will be occasions when you will want certain users to not perform certain tasks, to reduce the chance of mistakes or duplication of a user's workload. To allow you to categorize your users and dictate what actions they will be allowed access to, Pipedrive offers Permission Sets.

While visibility groups in Pipedrive dictate what users in your account are able to see, permission sets inform what actions that certain groups of users are allowed to perform within Pipedrive.

To begin designing your permission sets, go to Settings > Customize > Manage Users > Permission sets.

The level of customization you are able to design in your Permission Sets is set by which Pipedrive plan your account is currently on. For information on how to change your Pipedrive plan, click here

  • The Silver plan has two permission sets — Admin User and Regular User. The Regular User permission set can be customized for specific permissions and name.
  • The Gold plan has three permission sets — Admin User, Manager, and Regular User. Both the Manager and Regular User sets are customizable, like above.
  • The Platinum plan has further permissions — all of the above, plus additional custom sets. Every permission set except for the Admin User set is fully customizable.


To add a user to a permission set, search for that user in the search bar. A Pipedrive user may only be associated to one permission set at a time. 
To change which permission set a user is in, select the new permission set from the 'Change set' dropdown next to that user's name.

Admin Users in the Pipedrive account are able to perform any action and view all items in the company Pipedrive account.
Any user in a different permission set will be limited in what they are able to do or see, based on the following parameters: 

  • Change the visibility of items
    When on, this allows for users in this permission set to be able to change the visibility setting of specific items in the Pipedrive account.
    When off, that visibility setting cannot be edited by users in this visibility group. 

  • See the names of hidden items
    When on, this allows for users in this permission set to be able to see the names of specific items that they do not have specific visibility permission to see.
    When off, those items will simply appear as "(hidden)" to users in this permission set.

  • Export data from item lists
    When on, this allows for users in this permission set to be able export data from Pipedrive using the Export data option in the List View in Pipedrive.
    When off, that export option is not available to users in this permission set. 

  • Delete deals
    When on, this allows for users in this permission set to be able to delete deals in Pipedrive.
    When off, users will not be able to delete any deals in the Pipedrive account.

  • Delete activities
    When on, this allows for users in this permission set to be able to delete activities in Pipedrive.
    When off, users will not be able to delete any activities in the Pipedrive account.

  • See company's statistics
    When on, this allows for users in this permission set to be able to see the general statistics of the company Pipedrive account under the Progress tab.
    When off, users will not be able to view any company statistics in the Pipedrive account.

  • See other users' statistics
    When on, this allows for users in this permission set to see the statistics of other users in the Pipedrive account.
    When off, users will not be able to view those users' statistics. In order to view other users' statistics, the 'see other users' permission should be enabled as well.

  • See other users
    When on, this allows for users in this permission set to see the existence of other users in the Pipedrive account.
    When off, users will not be able to see the name of any other users in the account, or what those users own.

  • See the summary on the Deals page
    When on, this allows for users in this permission set to see a summary of the number of deals and their total value at the top of the Deals tab.
    When off, users will not be able to see any of that specific information at the top of the Deals tab.

  • See all items of other users they are following
    When on, this allows for users in this permission set to be able to view the items owned by any other user that they are following in the Pipedrive account.
    When off, users will not be able to see those items. For more information about following in Pipedrive, click here

  • Merge deals
    When on, this allows for users in this permission set to be able to merge deals together in the Pipedrive account.
    When off, users will not be allowed to merge together deals. For more information about merging in Pipedrive, click here.

  • Merge people
    When on, this allows for users in this permission set to be able to merge person contacts together in the Pipedrive account.
    When off, users will not be allowed to merge together person contacts. For more information about merging in Pipedrive, click here.

  • Merge organizations
    When on, this allows for users in this permission set to be able to merge organizations together in the Pipedrive account.
    When off, users will not be allowed to merge together organizations. For more information about merging in Pipedrive, click here.

  • Share filters
    When on, this allows for users in this permission set to be able to mark their created filters as shared in Pipedrive.
    When off, any filters created by the user will only be viewable by that user. For more information on filtering, click here.

  • Edit shared filters
    When on, this allows for users in this permission set to be able to make changes to any filter that has been marked as shared in Pipedrive.
    When off, users will not be able to make changes to any filter that has been marked as shared. For more information on filtering, click here.

  • Edit deals won/lost date
    When on, this allows for users in this permission to be able to adjust the Won Date or Lost Date of any deal they can see.
    When off, users will not be able to edit that field. The Won Date and Lost Data fields are important for maintaining consistent statistics for your Pipedrive account.

  • Bulk edit items
    When on, this allows for users in this permission set to be able to use the bulk edit function in the List View to make mass changes or deletions quickly in Pipedrive.
    When off, users will not be able to make these bulk changes. For more information on bulk editing, click here.

  • Use API
    When on, this allows for users in this permission set to be able to utilize Pipedrive's API by accessing their own unique API token.
    When off, users will not be able to utilize the Pipedrive API. For more information about the Pipedrive API, click here.

  • Import items
    When on, this allows for users in this permission set to be able to import data — like deals, contacts, products, or activities — into the company Pipedrive account.
    When off, users will not be able to importing information into Pipedrive. For more information about importing in Pipedrive, click here.

  • Add products
    When on, this allows for users in this permission set to add products using Pipedrive's Products feature.
    When off, users will not be able to add products to your account's catalogue of products. For more information about the Products feature, click here.

  • Edit products
    When on, this allows for users in this permission set to edit products using Pipedrive's Products feature.
    When off, users will not be able to edit the products in your account's catalogue of products. For more information about the Products feature, click here.

  • Create workflows
    When on, this allows for users in this permission set to create workflows using Pipedrive's Workflow Automation feature.
