Note: The Sales Assistant feature is currently in beta and is available only to a select group of users.

Salespeople often spend a lot of time on non-sales tasks, which can reduce productivity. We aim to increase your sales efficiency with an AI-driven assistant that helps you get more done quickly, so you can focus on closing more deals.

Over time, we‘ll expand the Sales Assistant to offer more capabilities designed to boost your productivity and save time by providing helpful answers and performing actions tailored to your needs.


Where can I find the Sales Assistant feature?

The Sales Assistant is at the top of Pipedrive, next to the search bar. It‘s easily accessible from anywhere in Pipedrive, so you can always find it whenever you need assistance.

Note: An account settings admin must accept the AI Beta terms to enable access for everyone in the company in order to use the Sales Assistant.

What can I do with the Sales Assistant?

The Sales Assistant, powered by OpenAI, is your intelligent assistant inside Pipedrive.

Like ChatGPT, it can handle inquiries, summarize content (up to 300 characters), generate text for notes and emails, receive step-by-step help with how Pipedrive features work and answer follow-up questions for quick, relevant responses.

You can ask questions via voice or text, get context-aware answers based on your data and usage, and see prompts tailored to where you are in the app. Conversations are saved in your chat history for easy access.

Pipedrive’s Sales Assistant is tailored to enhance your experience within the platform by focusing on tasks related to sales workflows and productivity.

By integrating these capabilities with Pipedrive’s features, our AI assistant further streamlines your work and delivers solutions that directly improve your efficiency in managing sales and customer data.

Communicate with voice or text

You can interact with the Sales Assistant by typing your questions or using the built-in voice input feature.

To use the voice feature, click the microphone icon to start voice recognition, speak your request and click it again once you’re done. The Sales Assistant will transcribe your words and respond just like it would to a typed message.

Ask questions about your data

The Sales Assistant can access information from your Pipedrive account, such as deals, activities or contacts, so you don’t have to search through them manually. Ask direct, specific questions to get fast answers and reduce time spent navigating your data.

You can ask anything from “How’s my team performing this month?” to “Which deals need my attention?” or “What’s forecasted for next quarter?” and get instant, accurate answers based on real-time data from your account.

Whether you’re spotting trends, tracking progress toward goals, reviewing customer details or optimizing your pipeline, this tool simplifies complex tasks with clear, context-aware responses—no need to switch tabs or dig through dashboards.

Get answers for how-to questions

For example, when you ask how to set up an automation or create a report in Insights, the Sales Assistant will provide a step-by-step answer from our Knowledge Base, including visuals when available.

Get contextual answers

Depending on where you are in the app when clicking on the Sales Assistant button, you’ll see suggested prompts contextually linked to that section at the bottom, so you can ask more specific and relevant questions.

This makes it easier to get started, especially if you’re new to Pipedrive.

Also, while typing your question, pressing “tab” on your keyboard or clicking “+” will tell the Sales Assistant to focus on whatever you were viewing before bringing up the chat window.

Resize and move the chat window

You can drag the window anywhere in the app and adjust its size to avoid covering anything you need to see or to make it bigger for a more comfortable experience.

Check the information source

To assist you in verifying the accuracy of the information, the Sales Assistant will display the sources of its answers in a specific tab labeled “Sources.”

For example, to answer the question “How did my deals perform in the last quarter?” the Sales Assistant checked all your deals over the past quarter and focused on key metrics to provide you with an answer.

Chat history

Your conversations are automatically saved in the history, so you won’t lose essential messages or need to repeat yourself.

The previous conversations remain saved until you choose to delete them manually. Each user’s history is private and can only be viewed by that user. Admins can’t view or access other users’ conversations, and sharing them is not possible.

Note: Your saved conversations may contain data about your deals, contacts, etc., and you can delete them whenever you see fit. Deleting a deal or a contact in Pipedrive does not automatically remove the conversation regarding the item; you must do it manually.

How the Pipedrive Sales Assistant uses your data

The Sales Assistant may access relevant data from your Pipedrive account, such as deals, contacts or activities, to provide helpful, context-aware answers. This access is required solely to support your experience and improve the relevance of responses.

Your data is never used to train AI models, not by Pipedrive or any third parties. We only use your data to power features you actively use.

Prompt suggestions to use with the Sales Assistant

If you’re unsure how to get started, don’t worry, the Sales Assistant understands natural language. You can ask questions just like you would talk to a person. The more context you provide, the more detailed and accurate the answer will be.

You can also explore the examples below and customize them to fit your specific needs:

  • Fetch the permissions and visibility configuration for the user (name of the user)
  • Get a list of all projects associated with the organization (name of the organization)
  • When is my next call with the contact person (name of the person)?
  • How is my activity goal doing?
  • What was that note I wrote on the contact person (name of the person) about (topic of the note)
  • How many deals moved from stage (stage name 1) to stage (stage name 2) last month?
  • How is my team performing this quarter compared to last quarter?
  • What’s our win rate over the last 6 months?
  • Who are our top 10 customers by revenue this year?
  • What’s the average time between a customer’s first contact and deal closure?

FAQ about the Sales Assistant

Does Pipedrive use client data to train AI models?

Pipedrive does not permit third parties to use client data to improve or train AI models, nor do we use client data to improve or train our models without your permission.

What AI subprocessor does Pipedrive use?

Pipedrive uses different subprocessors, including OpenAI and open-source AI algorithms. Read our AI functionality supplemental terms.

How can I be sure of the accuracy of the answers I get?

For transparency reasons, the Sales Assistant will display the sources on which its answers are based. The sources appear in a specific tab called “Sources.”

Example: For the answer provided by the prompt “How is my sales team performing?”, the agent used both the Knowledge Base and the customer‘s data.

What is conversational AI?

Conversational AI is a branch of artificial intelligence that enables computers to understand, process and respond to human language in a natural, conversational manner.

It combines natural language processing (NLP), machine learning and computational linguistics to facilitate interaction between humans and machines as if they were talking to another human.

What is generative AI?

Generative AI refers to a subset of artificial intelligence technologies that can generate content, such as text, images and music, based on the data they’ve been trained on.

It employs machine learning models, like GPT for text and DALL·E for images, to create outputs that mimic human-like creativity.

How does AI make a CRM better?

AI enhances CRM systems by automating data analysis and workflows, predicting customer behavior, formulating and personalizing customer interactions and improving decision-making. It streamlines tasks, offers insights based on customer data and identifies sales opportunities.

This leads to more efficient operations, better customer engagement and increased sales, making CRM tools more powerful and effective.

Which AI tools does Pipedrive integrate with?

Pipedrive uses a combination of internally developed AI software engines and OpenAI to offer a variety of AI-driven features to improve decision-making, customer interactions and performance insights.

How can AI features be turned on and off?

Only admins can turn AI features on and off for their users on a company level. Individual users can ask admins to enable features.
