How does it work?

Pipedrive features two methods of managing your email conversations with your customers: Email Sync and Smart Email BCC.
Whichever method you use, Pipedrive will intuitively calculate which contacts and deals your email conversations belong to, based on the email address you're sending the message to. This means you'll always have a clear picture of all conversations from the Detail View of both the Person and Deal.

You'll also get your own dedicated Pipedrive inbox, which will contain all of your emails and give you control over the linking and sharing of those emails.

Email Sync

This feature — available in Pipedrive's Gold and Platinum tiers — allows you the ability to sync your email inbox to your Pipedrive account, allowing you access to your email without having to leave Pipedrive.
To enable the Email Sync feature, go to Settings > Personal > Email Integration, and click the Connect your account button found there.
The Email Sync feature is compatible with all major email providers, including:

  • Gmail and Google Apps
  • Yahoo! Mail
  • Microsoft Exchange (ActiveSync)
  • Outlook.com (aka Hotmail)
  • iCloud (aka MobileMe or DotMac)
  • AOL Mail
  • FastMail
  • GandiMail
  • GMX
  • Mail.ru
  • Yandex.Mail
  • GoDaddy Mail
  • Hover.com
  • Namecheap
  • Bluehost
  • Soverin
  • Zimbra
  • 123-reg
  • 126
  • QQ Mail
  • Aliyun (Alibaba Group)
  • Netease 163 (China)
  • Yeah.net
  • 139.com (China)
  • Any custom account syncing through generic IMAP


All incoming and outgoing mail is synced to your Pipedrive account and is associated with the corresponding contacts and deals.

Smart Email BCC

Our Smart Email BCC function allows you to manually add specific email conversations to a deal or contact, giving you the freedom to individually select which emails should be sent to Pipedrive.
Using the Smart Email BCC, a user in the Pipedrive account would copy the company-specific universal BCC address and paste it to the BCC section of any email sent out. Doing so then provides reflects copy of that BCC'd email in the Pipedrive account, in that user's Mail tab.
Any replies received from your customers will need to be forwarded to that same universal BCC address in order to appear in Pipedrive.

When forwarding an email to Pipedrive, forward the email without a 'to' address, only including the Smart BCC address in the BCC field.

Note: Make sure to include the Pipedrive Smart BCC address in the BCC field of your emails, to prevent any confusion with your potential customers.

Email Settings

Whichever method you use to manage your emails in Pipedrive, there are a few settings to consider for your integration.

In Pipedrive, the Alternative email addresses feature is used specifically for the Smart email BCC feature. By default, only the email address used to log into Pipedrive will be authorized to use the Smart email BCC address associated with your account.
However, if you send your emails from a different email than the one used to log into Pipedrive, you should add that email address as an alternative email. This will send a confirmation email to the added email address, which will need to be validated before that address can be used successfully as an alternative email in Pipedrive.

This setting configures the default sharing setting of all future emails in Pipedrive. Keep in mind, it will not overwrite any current email sharing settings on your existing emails, and only applies to emails received after the setting has been chosen.
Other users in your Pipedrive account can only see an email that is associated with a contact or deal if the email is set to be Shared
If an email is marked Private, then no other user in the account can see that email — including Admin Users of the Pipedrive account.

Pipedrive will automatically associate emails with the appropriate Person contact by recognizing the email address associated with that received email.
The Automatic linking to deal section will allow you to have Pipedrive associate the received email with any open deal for that Person contact as well.
In short, if your Person contact is associated with several open deals, Pipedrive will allow you to choose which deal to link that email to.

Note: If you delete the a linked email from the Mail tab of your Pipedrive, it will no longer appear in the Detail View of that associated deal.
