Exporting data from Pipedrive

JT
Jenny Takahara, March 14, 2024

There are two ways to export data from Pipedrive: from the list view to combine data from different items (deals, organizations and people) and build reports of what you need, or from Settings to export all data for each item individually.

Read more about CRM data import and export in this post.

Exporting from the detail view

Note: Only deals can be exported from the detail view.

Go to a deal’s detail view and click on the “...” (more) icon > Export as XLS in the top right corner. The spreadsheet will include deal details and any linked person or organization data.

Exporting from the list view

Note: Only global admins and regular users with the correct permission set enabled can export from the list or detail views.

You can export custom reports on your deals, organizations, or other items in Pipedrive from the list view. First, go to the list view of an item and filter for the specific data you want to export.

For example, to export lost deals, select the filter All lost deals to only pull up deals that fit the criteria.

Once you have the filter, select the data fields you want to export by editing your list view columns. You can choose from deal, person and organization fields, mixing and matching data from all three to get your perfect combination.

Then click the three dots in the top right of the screen and select Export filter results.

Exporting from “Export data”

Note: Only full admin users (deals and global) have the ability to use the Export data option.

You can also export your data by going to Tools and apps > Export data.

Select the type of data you want to export and click on either CSV or Excel. Your export file will appear in the Generated exports list. To download the file, click on the cloud icon in the Available until column.

Note: Activities and notes linked to deals and contacts must be exported separately.

Exporting from Insights

There are two ways you can export data from your Insights tool.

Exporting charts

To export a report, goal, or dashboard, click the “Export” dropdown in the top right corner, and select one of the available file types:

This will give you a file containing the charts, title and any filters applied.

Exporting to spreadsheets

You can export the table view of your report as a spreadsheet by clicking the “Export” button above the table.

Exporting from “Users and access”

Note: Only users with account settings access can export the company user list from the “Users and access” tab.

You can export users’ app access data by going to Manage users > Users and access.

This data includes:

  • User name
  • Email
  • Last login time
  • Permission sets
  • Visibility groups
