Pipedrive’s meeting scheduler tool is a great way to keep in touch with clients when it’s convenient for you both, and you can use it right alongside the <a href="https://support.pipedrive.com/article/email-sync" target="_blank" rel="noreferrer noopener">email sync feature</a>.

<h2 style="text-align: justify">Where to find the meeting scheduler<a name="where-to-find-the-meeting-scheduler"></a></h2>
There are two places in Pipedrive where you can create or copy a meeting scheduler link: 
<ul><li>Click “Meeting scheduler” in the email composition box of either an item’s detail view or the <a href="https://support.pipedrive.com/article/email-sync" target="_blank" rel="noreferrer noopener">mail tab</a></li></ul>

When proposing times to your customers in Pipedrive, consider which of the following you’d like to provide:
<ul><li> Your general availability to let the customer choose a time for themselves </li><li>A specific time that you want to propose</li></ul>
<h3>General availability <a name="general-availability"></a></h3>
General availability means you’re selecting broader timeframes designed for larger windows that customers can book.

To create a link to offer your availability, select Manage availability &gt; Add availability, or edit the default one.

Scheduling for specific times means you’re creating slots for one-time engagements with customers. This is designed for non-recurring appointments like lunch meetings or scheduled phone calls.
Select “Pick times” to choose any free spots on your calendar you want to offer your customer.

<h2>Managing proposed times<a name="managing-proposed-times"></a></h2>
You can adjust your available times, both general and specific, even after you’ve generated your meeting scheduler links.
<h3>General availability<a name="general-availability-1"></a></h3>
Go to Activities &gt; Meeting scheduler &gt; Manage availability, then select “Add availability” for a new link, or click on one of your existing links to edit it. 
In this section, you need to define the meeting duration, the dates for the availability to be active and the timeframes. You can also edit buffer and time settings if needed.

In the general availability window, you can preview, share or click the trash can icon to delete it.

Go to Meeting scheduler &gt; Pick times and select the day and time for your appointment using the calendar view.

You can edit your existing single-time appointment links by hovering your cursor over Pick times and clicking the gear icon.

Once you’ve created a meeting scheduler availability, you can share the link in the following ways.

Go to Activities &gt; Meeting scheduler and hover over the availability to copy your invite link.

Embed your meeting scheduler link directly in the body of any email composed in Pipedrive.

Go to Activities &gt; Meeting scheduler &gt; Manage availability. Then, click “Share” on the right-hand side of the screen.

Copy the snippet to embed the meeting link and paste it on your website.

When a customer selects a time slot to create an appointment, they’ll receive a confirmation email:

Booking an appointment also creates an activity in your Pipedrive activities calendar:

Clicking on an appointment from this view will redirect you to the Scheduler calendar view, where you can edit or delete your appointment.

<h2 style="text-align: justify">Adding footer text to the Scheduler form<a name="adding-footer-text-to-the-scheduler-form"></a></h2>
To add footer text to your meeting scheduler form, go to the meeting details window and click “+ Add footer” at the bottom of the screen.

Go to your activities calendar view and click on the appointment you want to delete. 
You’ll be redirected to the meeting scheduler calendar, where you can select the meeting time and the trash can icon.

If you want your customers to book time with you in a window of their choice, you can use the set availability option in the Scheduler and provide your preferences.

<h2 style="text-align: justify">Creating new availability </h2>
To add your <a href="https://support.pipedrive.com/article/scheduler" target="_blank" rel="noreferrer noopener">Scheduler</a> availability, go to Activities &gt; Meeting scheduler &gt; Manage availability.

From there, select “Create new availability,” then click the “+” below any day to add available hours.

<div>When adding your hours, you can copy hours from one day to others while editing: </div>

After you’ve added your details, click “Continue to meeting details” to move to the next window.

Here you can customize the message your Scheduler recipients receive when they book an appointment. This includes: 
<ul><li>The name, location and description of your meeting </li><li>Whether the appointment is via <a href="https://support.pipedrive.com/article/video-call-integration-for-scheduler" target="_blank" rel="noreferrer noopener">video call</a>, and if so, which video conferencing service </li><li>Required fields for the recipient to fill in </li><li>Optional footer text</li></ul>
You can also choose how scheduled appointments are saved as activities on your Pipedrive calendar. 
When you’re finished, click “Share as link” and a shareable link will be created for your availability. You’ll also see that availability listed in your general availability section:

<h2 style="text-align: justify">Managing availability </h2>
It’s important to make sure the times you make yourself available are optimal for your workflow. Here are a few things to keep in mind: 
<ul>
<li>
How long should each meeting be? The length of available slots can vary from day to day, so be mindful of how long the appointment slots you create are. </li>
<li>
When is this availability active? Remember any holidays or scheduled days off where normal availability won’t apply, so clients don’t book appointments when you’re not around.</li>
<li>
What are these meetings about? The nature of a meeting can impact how much time should be allocated, and whether you’ll need buffer time beforehand.</li></ul>
After an appointment slot has been booked, you’ll receive a confirmation email:

 You can click “Open in Pipedrive” to see the new activity created in your account for the appointment.

You can edit the activity details here, but edits made to the activity won’t be reflected in the appointment link.

How can I propose my general availability in the Scheduler?

Scheduling for a specific time using Pipedrive’s Scheduler tool means picking slots for one-time meetings with customers.
To schedule for specific times, go to Activities &gt; Meeting scheduler &gt; Pick times.

From there, select a time slot from the Scheduler calendar view and submit your meeting details.

The meeting details you can add here are the same ones available in <a href="https://support.pipedrive.com/article/how-can-i-propose-my-general-availability-in-the-scheduler" target="_blank" rel="noreferrer noopener">general availability.</a> 
<ul>
<li>
Meeting name Name you want the customer to see for the scheduled meeting. (Lunch to discuss new acquisitions) </li>
<li>
Location Location information, if relevant. (Ex. name and address of the restaurant for a lunch meeting)</li>
<li>
Description Information about the upcoming meeting. (Ex. topics of discussion)</li>
<li>
Company name visible for the invitee If your company name in Pipedrive is different from the company name you use to speak with customers.</li>
<li>
Form fields These fields appear in the meeting invitation so your customer can submit that information. Any required field is mandatory for the customer to confirm that meeting.</li>
</ul>

 On the right, you can choose which activity type your new appointment is saved under and add any notes.
