<a name="connecting-to-your-storage-provider"></a>Connecting to your storage provider</h2>
<p style="text-align: justify">To connect Smart Docs, go to a deal or contact’s detail page, click the <strong>Documents tab </strong>and select <strong>Connect cloud storage</strong>. You can connect using three providers – <strong>Google Drive,</strong> <strong>Microsoft OneDrive or SharePoint.</strong></p>

<p style="text-align: justify">You’ll be brought through a flow to grant permission for Pipedrive to access your account. Once connected, you can upload existing documents or templates saved to your deals, and they’ll also be saved automatically to your drive. </p>
<p style="text-align: justify">After you connect your account, you’ll see the option to connect either a personal or shared drive as your storage location. </p>

<h2 dir="ltr"><strong>Creating a shared drive folder </strong><a name="creating-a-shared-drive-folder"></a></h2>
<p dir="ltr">When you connect your storage provider to the Smart Docs feature, you’ll notice a drop-down menu where a person’s drive can be selected. When you connect the Smart Docs feature, you’re automatically assigned a custom shared drive folder. However, you can also create your own.</p>

<p style="text-align: justify">Once you’ve connected your account, you can start creating documents and proposals. You can create a document directly, but we recommend first creating a template so you can save time for your future documents. You can control which Pipedrive roles are permitted to create or add new templates using Pipedrive permission “<strong>Add and import Smart Docs templates</strong>.” Read more about permission sets in Pipedrive in <a href="https://support.pipedrive.com/hc/en/articles/360000309478" target="_blank" rel="noreferrer noopener">this article</a>.</p>
<p style="text-align: justify">To create a template from scratch, go to the <strong>Documents &gt; Templates tab</strong> in a deal or contact’s detail view and click on “<strong>Document</strong>,”<strong> </strong>“<strong>Spreadsheet</strong>” or<strong> </strong>“<strong>Presentation</strong>.”<strong> </strong>You can also import a template from your provider if you already have one saved. </p>

<p><strong>Editing your template</strong></p>

<p style="text-align: justify">When in the template editor, you can update the template’s <strong>name </strong>and <strong>category</strong> and add any Pipedrive deal, contact, product, project, or <strong>time-based </strong><strong>fields</strong> to fill in the content of your template.</p>
<p style="text-align: justify">To add Pipedrive fields to your template, copy and paste the field from the right-hand side of your template editor into the template body. The field will show in brackets “[ ]” and be automatically replaced with the field data when the template is used for a document.</p>

<p style="text-align: justify"><strong>How can I share templates with my team? </strong><br><br>You can use advanced template sharing to automatically share the template with other users in Pipedrive. To share a template, open up to edit your template and click on the <strong>Permissions</strong><strong> tab</strong>. There are two different levels of permissions you can give users: </p>

You’ll see the option to create a document from a previously created template or create one from scratch with a <strong>blank document</strong>, <strong>spreadsheet</strong>, or <strong>presentation.</strong><br></p>
<p style="text-align: justify">You can also import pre-created documents from your device or connected Google Drive, Microsoft OneDrive or SharePoint account. Documents saved locally can also be uploaded as a PDF from your device. </p>

<p style="text-align: justify"><strong>Google Drive –</strong> If you click on the “<strong>Share</strong>” button in the bottom right corner of the document editor, you can share the document, download the document as a PDF or delete the document. </p>

<strong>Download PDF –</strong> Save your document locally so you can attach it to an email or send it directly to your customers.</li>

<p style="text-align: justify"><strong><br>OneDrive and SharePoint –</strong> To share your document, you will first have to close your document editor and click on the <strong>“...” </strong>(more) button on the document created on the <strong>Detail page. </strong></p>

<p>When a recipient opens the link for the document, they will see this notification prompting them for permission to track and store cookies. It is only after they accept that Pipedrive will start tracking the viewing activity. </p>

<h2 style="text-align: justify">Where are my documents and templates stored?<br><a name="where-are-my-documents-and-templates-stored"></a></h2>
<p style="text-align: justify">When you create a document or template with the <strong><a href="https://support.pipedrive.com/article/sales-documents-beta" target="_blank" rel="noreferrer noopener">Smart Documents feature</a></strong>, it won’t be stored in Pipedrive but rather in your cloud provider (Google Drive, OneDrive, or SharePoint).</p>
<p style="text-align: justify">In your cloud provider, there will be a new folder created called “<strong>Pipedrive (your company name</strong><strong>)</strong>”.</p>

<p style="text-align: justify">If you’re adding signer fields into the document, you must include a<strong> </strong>signature<strong> </strong>field for every signer. You can switch between the signers in the <strong>“Select Signer”</strong> drop-down in the left panel. </p>
<p>You can also allocate a field to a different signer when editing fields. <br></p>

<p style="text-align: justify">The following document types are not supported for signature collection: <br></p>
<ul><li>Encrypted documents (documents protected by a password.)</li><li>Documents already digitally signed.</li><li>Documents with read-only permissions.</li></ul>
<p>When using one of these document types, no error will appear, and <strong>the Signature process will be done as usual.</strong> However, Pipedrive <strong>won’t </strong>receive it<strong>,</strong> so the document will never appear “complete.”</p>

<a name="signing-the-document"></a>Signing the document</h2>
<p style="text-align: justify">When a signer opens a signature request in their email, they can review the document. They can click the <strong>“Signature” </strong>field to sign the document by either typing or drawing, or use the dropdown in the top right corner to <strong>“Decline to sign” </strong>or <strong>“Download as PDF.”</strong></p>

<p>The document on the detail page of your deal or contact will show the signing status of your document. </p>

<p dir="ltr" style="text-align: justify">An electronic signature, as defined under the European Union eIDAS act (No 910/2014 on electronic identification and trust services for electronic transactions in the internal market), covers the broad category of all electronic signatures, including “data in electronic form which is attached to or logically associated with other data in electronic form and which is used by the signatory to sign”.</p>
<p dir="ltr" style="text-align: justify">The <strong>basic digital signature </strong>offered by Pipedrive’s <strong>eSignature feature</strong> represents a subtype of the electronic signature with some advanced security characteristics.</p>
<p dir="ltr" style="text-align: justify">A basic digital signature uses PKI (Public Key Infrastructure). Crucial characteristics of the basic electronic signature are the following:</p>

<h2 style="text-align: justify">Product fields and tables<br><a name="product-fields-and-tables"></a></h2>
<p style="text-align: justify">Product fields only work with templates if they exist in a product table. First, copy and paste the table into your template body to add the product table. The table will auto-populate with a set of default product fields, but you can customize them to your preferences.</p>

<div class="support-note success primary"><strong>Note: </strong>While you can add columns to a product table, you can’t add rows. The product table is generated automatically depending on the number of products linked to a deal and creation time. If you manually add a row to the table in the template, it will disrupt the process and prevent you from generating a document from it.</div>

<h2 style="text-align: justify">Templates and documents<a name="templates-and-documents"></a></h2>
<p style="text-align: justify">You can create a template before creating documents and proposals for your deals or contacts. You can do so directly, but we recommend creating a template, first. This would allow you to save time on future documents. You’ll find both options under the tab <strong>Documents </strong>section in the <strong>detail view</strong>. <br></p>

<p style="text-align: justify">Templates are not linked to specific deals or contacts. Therefore, all fields you add to a template are always visible.</p>
<p style="text-align: justify">However, when generating and editing a document linked to a deal, you’ll only be able to see the fields that include data for the specific deal. If no information for a field that you have in your document exists, the specific field won’t be available when editing the document.</p>
<p style="text-align: justify">In order to create a document with deal-specific fields, you must create it from within the <a href="https://support.pipedrive.com/article/deal-detail-view" target="_blank" rel="noreferrer noopener">deal’s detail view</a>. To create a document with person-specific fields, you must create it from the deal detail or person contact’s detail view.</p>

<h2>Template naming<a name="template-naming"></a></h2>
<p style="text-align: justify">When you create a new template, the system’s first suggestion is to add a title. The title will appear as ready to edit. Any changes to the template are automatically saved.<br></p>

<p style="text-align: justify">When generating a document from a template, the document title won’t include the name of the template and instead will have the <strong>deal title</strong>, the date and the time it was generated. </p>

<p style="text-align: justify">To keep your documents organized within the deal, you can add Pipedrive fields to the template title (i.e., deal title). When generating a document from a template with Pipedrive fields in the title, the original template title and Pipedrive fields will be saved.</p>

<p style="text-align: justify">If you create a document from a template and a deal or contact is missing in any of its fields, the field name placeholder will remain in the document. </p>
<p style="text-align: justify">To change this setting, go to <strong>Tools and apps &gt; <a href="https://app.pipedrive.com/settings/sales-documents" target="_blank" rel="noreferrer noopener">Documents</a></strong> <strong>&gt; Company settings</strong> and scroll down to find the relevant option. </p>

<p>Once this option is enabled, if a field is missing information in the deal or contact, it will appear blank when a document is created from a template.</p>

<p><strong>When connecting your account to Smart Docs</strong></p>
<ul><li>Make sure you are trying to connect the Smart Docs feature rather than Google Drive. Install Smart Docs directly by heading to <strong>Tools and apps &gt; <a href="https://app.pipedrive.com/settings/sales-documents" target="_blank" rel="noreferrer noopener">Smart Docs</a>.</strong></li></ul>

Currently, you cannot link to files bigger than 15MB</li><li>Confirm that your account<strong> </strong>is<strong> </strong>connected from the <a href="https://app.pipedrive.com/settings/sales-documents" target="_blank" rel="noreferrer noopener">Smart Docs</a> settings page</li><li>Verify if the problem applies to a specific deal or all deals</li><li>Test whether the issue occurs when generating a document from a <strong>specific</strong> template or <strong>all</strong> templates</li><li>Check whether you are the template owner. If not, make sure the owner shares the template with you in both Pipedrive and your provider (Google or Microsoft).</li><li>Make sure that your internet connection is stable</li><li>If you are using <strong>product fields</strong>, review the template to ensure they are not used outside of a product table.
