Email sync: Team account settings
Once your team email account is connected, you can fine-tune its behavior and access settings from the Email sync settings page.
Some of these were set during email sync setup, but you can update them at any time.
Configuring team account settings
These settings are tailored for shared inboxes, allowing multiple users to view, manage and collaborate on emails linked to Pipedrive items.
Account
These are key settings for your connected email account. In this section, you can review and manage the following options:
- Edit your sender name
- View your synced email address
- Grant access to team members who should view and manage synced emails

Sync past emails
You can change how far back Pipedrive syncs emails by updating the sync start date.
You can choose between the following start dates:
- 3 days ago
- 1 month ago
Once selected, click “Sync”.

Signatures
You can add an email signature to a team email account so that all team members can view, use and update it.
Any changes to the signature are applied to all users linked to the team email, helping maintain consistent communication across your organization.
The one set up as the default will automatically appear in your email drafts.

Advanced settings
Here, you can enable or disable the following:
- Email tracking (opens, link clicks, alerts)
- Archiving or deleting emails in your external email client when you take action in Pipedrive
- Automatic linking to deals, contacts and leads

Default email visibility
When selecting “Shared”, email conversations will be visible to all users on your Pipedrive account when linked to Pipedrive items.
You can select “Team only” to keep the email conversations visible only to team members – users who have access to view and manage synced emails on the team account.

Blocked addresses
You can block email addresses and domains that you don’t want to receive emails from.

Synced folders
You can sync all your folders or select specific ones, such as the Inbox or Sent.

Account management
In this section, you can stop the sync, reconfigure your email as a personal account and remove the account.

General settings
In this section, you can choose whether to use Pipedrive’s email composer by default.

Email AI
You can enable AI features, including:
- Email summarization (beta)
- AI-generated email content
- Suggested replies (beta)
