An important part of closing a deal is creating an invoice for your customers so they can pay for your goods and services. Pipedrive's invoicing feature will allow you to streamline this process so you can create, view and send invoices to your invoicing app directly from the Pipedrive interface. 
Once the integration is installed with Pipedrive, you will be able to create invoices that will include pre-configured deal, person and organization details directly from the detail view of a deal. Pipedrive's invoicing feature currently integrates with a popular invoicing tool. To use this integration, you will need an active paying or trial account with both Pipedrive and the invoicing app.

If you currently use another tool for invoicing, the Marketplace also has other <a href="https://marketplace.pipedrive.com/apps/accounting-invoicing" target="_blank" rel="noreferrer noopener">accounting and invoicing integrations</a> that can be connected with Pipedrive. <div class="support-note success primary">Note: While the invoice feature in Pipedrive is included in all plans, third-party apps may involve extra costs. </div>

Invoicing feature in Pipedrive

With the <a href="https://marketplace.pipedrive.com/app/quick-books/06b965569cd0584e" target="_blank" rel="noreferrer noopener">Quickbooks integration app</a>, you can create invoices from the deal detail view and seamlessly send them over to your Quickbooks account without the hassle of copying and pasting data between the two tools. 
The integration can also provide updated statuses on the invoices created from Pipedrive, so you’ll know exactly when they’re approved, paid, or overdue without leaving the Pipedrive app.

<a name="enabling-the-quickbooks-integration"></a>Enabling the Quickbooks integration</h2>

Note: Only one user per Pipedrive company account can have an active Quickbooks integration at a time. The user who has the integration installed will be the only person who can see the invoices in Pipedrive. </div>
 To connect your Quickbooks account go to Tools and apps &gt; <a href="/settings/invoice_integration">Invoicing</a> and select “Quickbooks”.
You’ll be taken to the Pipedrive marketplace where you can complete the installation flow and grant the app access to your account. Uninstalling the app can be found under Tools and apps &gt; <a href="https://app.pipedrive.com/settings/marketplace">Marketplace apps</a>.

 Once your valid login credentials have been confirmed, you’ll be directed back to your Pipedrive settings to configure your Quickbooks integration preferences.

When setting up your Quickbooks integration, you’ll need to choose the Pipedrive fields and the due date that will be auto-populated once an invoice is created in Pipedrive.

To – This field is for who you want to address the invoice to. As invoices are typically paid by the accounts payable department of a company, we suggest using Pipedrive’s Organization – Name field. You can also choose from other organizations, people contact and deal fields. </li>
<li>
Address – This field is for the physical address of the invoice’s recipient. Since invoices are typically paid by the accounts payable department of a company, we suggest using Pipedrive’s Organization – Address field. You can also choose from other organizations, people contact and deal fields. </li>
<li>
Email –This field is the email address of the recipient of the invoice. As the email field in Pipedrive is a person-type field, we suggest utilizing Pipedrive’s Person – Email field. You can also choose from other organizations, people contact and deal fields. </li>
<li>
Customer tax ID –Not all invoices require this information, but if you have created a <a href="https://support.pipedrive.com/en/article/custom-fields" target="_blank" rel="noreferrer noopener">custom field</a> in Pipedrive to hold your customer’s tax ID information, we suggest applying that field here. </li>
<li>
Due date – Here you can set up the due date of the payment. For example, if the due date is set for seven days after the issue date, an invoice created on March 13th will have a due date of March 20th.</li>

Once you are satisfied with your choices for the Pipedrive fields to populate your Quickbooks invoices, click the “Save” button to save your integration preferences for your Pipedrive company account.

<a name="using-the-integration"></a>Using the integration </h2>
Once you’ve finished setting up your integration, you can head over to the detail view of any deal to create your first invoice. Click on the Invoice tab &gt; + Invoice to get started.

 You’ll be prompted to fill out the details of your invoice. The information added here will be sent to your Quickbooks account when the invoice is saved.

Customer Details – These will be auto-filled based on the fields chosen when setting up your invoicing preferences for Quickbooks. </li>
<li>
Invoice Details – These details need to be filled out based on your company's needs. For example, if you would like to adjust the tax functions of this invoice, which currency should be used in this invoice or any Quickbooks invoice templates you would like to use. Currency is a mandatory field for Quickbooks. </li>
<li>
Invoice Items – This field reflects the items – like goods or services – that make up the charges in your invoice. This will automatically populate with the products that are linked to your deal. Learn more about how to add products to your deals <a href="https://support.pipedrive.com/en/article/how-can-i-link-products-to-a-deal">here</a>. You can also add more items to your list.</li>
</ul>
<div class="support-note success primary">Note: Once products linked to the deal have populated your Invoice Items section, you will need to link each one to an existing product in your Quickbooks account. There will be a yield icon next to your item until it is successfully linked. If you are using our products feature for your invoice items, we recommend making sure your products list is up to date. If you are not using our products feature, you can search and link to your products in Quickbooks directly in the create invoice window. </div>

Note: When entering invoice currency details, it’s important to make sure the currency applied is the same one as the currency saved under that contact in Quickbooks. If you want to bill in multiple currencies, you’ll first have to enable the multiple currencies feature in Quickbooks, add the currencies you wish to invoice in and then save your contacts with the right currency type in Quickbooks before generating invoices in Pipedrive. </div>

Under “Customer details”, you’ll need to link the invoice to an existing customer in your Quickbooks account or create a new one.

Once a contact is linked, you’ll have the option to update customer info on the provider’s side.
If you have this enabled, the information added under Address, Email and Tax ID will be pulled into Quickbooks if it is different from the information saved.

Click on the “Create invoice” button once you’ve entered all of your invoice details.

<h2 style="text-align: justify"><a name="viewing-your-invoices"></a>Viewing your invoices </h2>
Your new invoice will appear under the Changelog in your detail view. The invoices in Pipedrive will reflect the following flags based on their statuses:
<ul><li>Open</li><li>Paid</li><li>Voided</li><li>Overdue</li><li>Deleted</li><li>Partially paid </li></ul>

If you click on More “...”, you will have these options:

<li>Void – Void any unpaid or paid invoices. Voided invoices cannot be unvoided. </li>
<li>Delete – Delete the invoice.</li><li>Send by email – Send any paid or due invoices directly to your customer. Invoices sent by email will be emailed from Quickbooks. </li><li>Download PDF – Download a PDF version of your invoice to send to your clients directly.</li><li>
Open in QuickBooks – Clicking this option will bring you to your Quickbooks account where you can edit, send your invoice and accept payment.</li></ul>
Detail view sidebar
Your invoice history will also be added to the detail view’s sidebar. Here you can refresh to bring in any new updates from Quickbooks, or click on More (“...”) to go to settings or unlink your contact.

<div class="support-note primary">Click on “View all invoices” to view more details on all of the linked invoices filtered by a customizable time frame. You will be able to see all of the invoices that are related to the linked contact shown and be able to link and unlink those invoices to the deal you’re currently viewing. </div>

With <a href="https://support.pipedrive.com/en/article/pipedrive-integration-quickbooks" target="_blank" rel="noreferrer noopener">Pipedrive's QuickBooks integration</a>, you may sometimes receive an error message. There are a number of different reasons that can cause this error message. If you receive an error, there are a few steps we recommend you follow.

<a name="document-number"></a>Document number</h2>
Duplicate document number
If the Invoice Number field has the same number as an invoice that already exists on QuickBooks' side, this will cause the error as it is a duplicate. In this case, you should choose a different number. 
Invoice number not supported
If you create an invoice number with letters for example – GRAL-2021 – you will need to continually add invoice numbers manually for your next invoices. If the number is not added manually, it will not work and the system will show an error. 
Invoice number generation
If you don't enter an invoice number when creating an invoice in Pipedrive, QuickBooks will automatically assign an invoice number starting with 1001. The next invoice number will be 1002 and so on. In case you have created an invoice without a number and would like to continue in the correct order, you will need to go to your QuickBooks account and check what number was on the last invoice and manually enter the next one.

<a name="tax-and-currency-issues"></a>Tax and currency issues</h2>
Ensure your tax rates are set up
Pipedrive does not determine your tax rates, so you will need to make sure you have set up the correct tax rates in Quickbooks. 
One foreign currency at a time
If you are on QuickBooks' Simple Start plan this does not support multiple currency types. If the wrong currency is on the QuickBooks invoice, an error will appear in Pipedrive. To fix this, you will need to go to Quickbooks and change the invoice to the correct currency.

<a name="other"></a>Other</h2>
Duplicate name
In Quickbooks, you can not have duplicate names for your customers, suppliers, employees, etc. If you create an invoice with a duplicate name, you will need to change the name on the invoice, or the other entry in Quickbooks. 
Valid Quickbooks account
Please make sure you have a valid QuickBooks account. If your account/trial has expired you will see an error message in Pipedrive.
