Why do I have access to Nova without setting it up?
Nova’s core meeting-intelligence features (AI Notetaker, pre-call briefs, meeting summaries and transcripts, and CRM updates) are included in all plans, at no additional cost for every user. You’ll see Nova become available automatically, and no setup or approval from your admin is required to start using it.
How do I turn off Nova for a user?
Your Pipedrive admin can turn off Nova access for any user at any time in Settings > Manage Users.
What if I don’t have admin access and want Nova turned off?
If you don’t have account settings (admin) access, ask your Pipedrive admin to turn off your Nova access in Settings > Manage Users. If there’s no admin available to do this or you’d like Pipedrive to action it directly, contact our support team and we’ll disable Nova for you.

Does Pipedrive use client data to train AI models in Nova?
Pipedrive does not permit third parties to use client data to improve or train AI models, nor do we use client data to train our models without your permission.
How is my data protected when processed by Nova?
Nova uses the same technical and organizational measures as the other Pipedrive Services.

Which third-party AI providers does Pipedrive use to provide Nova?
Nova may use third-party AI providers in the provision and maintenance of services.

Our providers are contractually prohibited from using your data to train their models. We maintain Data Processing Agreements (DPAs) with these providers, ensuring they adhere to the same level of data protection, privacy, and security that we commit to in our own DPA with you.
What data does the Nova feature access and process?
Nova securely analyzes your Pipedrive data and transcripts to deliver tailored meeting prep, recaps, and CRM updates. Nova accesses and processes Client Data, depending on which features are enabled. This may include Pipedrive CRM data, synced emails, calendar events, call recordings, meeting transcripts, and any other data the user chooses to sync with Nova.
Data sent to third-party subprocessors is limited to what is necessary for the specific feature.
Where is my data processed and stored when using Nova?
Client Data is hosted across seven AWS regions:
- EU (Frankfurt and Dublin)
- UK (London)
- US East
- US West
- CA (Montreal)
- ASPAC (Sydney)
New accounts are routed to the nearest regional data center based on your location: EU for EU clients, UK for non-EU European, Indian, and EMEA clients, ASPAC for Asia Pacific (except India), CA for Canada and US for the rest of the world. External factors, such as IP mappings, may occasionally result in a different data center assignment.
Nova uses sub-processors in various countries to deliver the service. International Data Transfer mechanisms, including Standard Contractual Clauses (SCCs), are in place where necessary. The specific sub-processors involved depend on which Nova features you use. Pipedrive’s support team is distributed globally, including in the US, to provide 24/7 coverage. When you contact support, a representative in another country may access your data to assist with your issue, which can constitute an international data transfer. Do I need consent to record meetings with Nova?
By using Nova, as the meeting organizer, you’re responsible and accountable for ensuring compliance with applicable laws and regulations, including informing participants that Nova is active and obtaining their consent where required by law and respecting any participant’s request not to be recorded.
Recording and transcription laws vary by jurisdiction. Several US states (not limited to, but including, for example, California, Florida, Pennsylvania, Maryland, Massachusetts and Washington) and a number of EU member states require participants’ consent before any recording or transcription begins. Some require consent from every participant, others require only one party’s consent. You’re accountable for honoring participants’ preferences.
To help, Nova provides you with the option to request consent or offer an opt-out via email notifications sent to participants before the meeting. Nova can also generate a consent link and, when using the Nova AI Notetaker bot, always sends a message in the meeting chat upon joining.
Participants or meeting hosts (depending on platform settings) can remove the bot at any time, which stops the recording. You remain accountable for honoring each participant’s preferences. For configuration details, visit the Nova settings page
Is my data shared with or accessible to other customers?
No. Pipedrive maintains strict tenant isolation throughout the Nova platform.

How long does Pipedrive retain Nova inputs and outputs?
Nova follows Pipedrive’s standard data retention policies. For Client Data (your account data), the standard retention policy applies: data is retained for the duration of your subscription. After an account is closed, content is deleted within 180 days (60 days for free trial accounts). Server archival backups are kept for 90 days after that. If you need earlier deletion, our support team can process that within one month of your request.
For specific processing:
Meeting transcripts generated via the recording features are deleted by the recording service provider after processing is complete.
If you disconnect an email or calendar sync, the previously synced data is deleted immediately.
