What is Trello?
Trello is a collaboration tool that organizes your projects into boards. In one glance, Trello tells you what's being worked on, who's working on what, and where something is in a process. So it is a great project management tool. (We have several Pipedrive teams that use it, so we’re speaking from experience.)
I have Pipedrive and Trello. How do I get started?
Enable the Pipedrive Power-Up by selecting “Power-Ups” from the board menu, and then by clicking on “Enable” to activate it. You have to be an admin of your board to enable Power-Ups.
Then, click the settings icon and select Link your Pipedrive account.
Enter your Pipedrive log-in credentials. If you'd like to begin Auto creating cards in Trello from Pipedrive, click the setting icon again and select Auto Create Cards From Deals.
Click Get Permissions to allow Pipedrive to access Trello. Lastly, click Allow when prompted.
You're now activated and ready to begin configuring your auto-cards.
Setting up Auto-create
Setting up automatic card creation in Trello is based on three types of rules:
- New deal added to Pipedrive
- Deal lost or won
- Deal moved to a specific pipeline stage
You can choose any of the above, but only one rule can be set up per Trello board. Otherwise, you’d end up with three similar cards in the same board. Every time one of these events occurs inside Pipedrive, a card is automatically created in Trello.
For example, you might have a Trello board that includes the members of your design team. When a deal reaches the stage “Proposal Needed”, they will see the card with the deal information on the Trello board and know that they have to start a project to deliver the proposal. Your accounting team most likely only needs to see a Trello board with deals won, so you’ll have a separate one for that, triggered by the corresponding event in Pipedrive. The cards will appear in Trello containing deal information and the relevant contact person.
Why should I use it if I have Pipedrive?
Pipedrive will help you understand where a lead is at within your sales process, but what if part of the sales process involves multiple departments with their own processes? Let's say for instance you sell industrial satellite connections, but you require a site-survey by a technician before knowing exactly what services can be offered to the customer. So while your deal sits in your Site survey stage in Pipedrive, you can use Trello to further gain insight into how the actual site survey is going, and who is involved in its steps.
Do I need to have a Pipedrive account to use the Pipedrive Power-Up in Trello?
Yes. You will need to be a registered Pipedrive user to add information.
What information does a Trello user see if they don’t have a Pipedrive account?
Members of your team without a Pipedrive account can see all the information available on the Trello board. They can’t add, edit or delete any Pipedrive information.
Who can add rules?
Only users with a Pipedrive account.
Can I add more than one rule?
No. You can only have one rule per board. If you change the rule, the previous one is switched off. But you can create multiple boards.
Why do I get an empty popup when trying to log in?
This is most likely being caused by an ad-blocker. To fix this, you can either temporarily disable your ad-blocker, or whitelist Pipedrive within your ad-blocker.
Will shared data remain private?
All members of a Trello board can see Pipedrive data on that board. Whether you attach Pipedrive deals or contacts to a card manually, or Trello cards are auto-created from Pipedrive data, everyone who is a member of that board can see the data, even if they do not have a Pipedrive account.
Consider that other board members can also make the board publicly visible or invite new members. This is how Trello works and we think it’s great. We are just highlighting this so that you can consider data privacy when you add your Pipedrive data to Trello.
So in short: Only share data that you are happy to make public.
